Renewal alerts for MSPs:
how the tools compare

XClause, ContractSafe and Renewtrak: what each one tracks, how its renewal alerts work, and what it costs, from each vendor's own site.

XClause is contract lifecycle software for MSPs in the United States. It sends renewal reminders on each signed agreement at the 90, 60, 30, 15 and 7 day marks you choose, builds SOWs whose monthly total adds itself up as you add managed units, and drafts the invoice from a signed SOW. Plans start at $99.99 a month, and every plan starts with a 7-day free trial.

Key takeaways

  • Renewal reminders come with every XClause plan, Starter at $99.99 a month included. You pick the timing on each agreement (any mix of 90, 60, 30, 15 and 7 days before it renews) and whether they go to your team, the client, or both.
  • On Pro ($199 a month, or $1,910 a year), XClause connects to ConnectWise PSA, Autotask, HaloPSA and SuperOps, and sends invoices to QuickBooks Online, Xero and FreshBooks, with payment status read back from all three.
  • An illustration, not a customer figure: 2 unbilled hours per technician per week at $150 an hour is $15,600 a year per technician, or $78,000 for a team of five. A renewal is where that work gets priced back in.

Which contract tool is best for MSP renewal alerts on recurring agreements?

It depends on whose renewals you are tracking. XClause tracks the client agreements you sell, ContractSafe tracks dates in any contract you upload, and Renewtrak runs renewals for vendors selling to their customers.

How do renewal reminders work in XClause?

Each signed agreement carries its own schedule. Pick any mix of 90, 60, 30, 15 and 7 days before the renewal or end date, and choose who hears about it: your team (the default), the client, or both. XClause checks once a day and sends each reminder once, when its mark is reached. NDAs and the Declination of Services never renew, so they are skipped.

To see everything due at once, open the contracts list. Every agreement shows its renewal or end date, and the Expiring soon filter brings up the ones due in the next 60 days.

Can XClause price a recurring renewal before it lapses?

Yes. Each SOW sets how its rates rise every year: the higher of CPI or 5% unless you pick a fixed percentage, no increase, or your own clause, and the client signs that wording. Before the renewal you can turn the signed SOW into a new version with new rates and send it for signature. XClause does not raise invoice amounts on its own.

Does XClause generate invoices from signed agreements?

Yes, from a signed SOW. One action drafts the invoice, one line per managed unit at the agreed counts and rates, or it is created at the last signature if you switch that on. It is emailed only with auto-send on, and both start off. Mark it recurring and XClause drafts the next one each period. The signed-contract invoicing page has the full walkthrough.

What contract templates does XClause include for MSP onboarding?

Four contract templates: an MSA, a SOW that doubles as the SLA (support hours, response times and escalation are fields in it), an NDA, and a Declination of Services and Risk Assessment. There is no DPA template. Independent MSP attorneys draft the XClause template library and keep revising it, so the language you start from is maintained rather than written once and left alone. You build from the live library rather than a copy issued at signup, so a revision reaches the next agreement you build. Agreements you have already signed stay exactly as signed.

A separate library of more than 30 client-facing policies and checklists, an acceptable use policy among them, comes with every plan too. For a specific deal, have your own attorney review the draft PDF before it goes out.

How does XClause compare to standalone e-signature tools for renewals?

The difference is what happens after the signature. In XClause the signed agreement is the record your renewal reminders and invoices run from, so nothing is re-entered. Signing is built in on every plan, and XClause records when the agreement was created, sent, viewed and signed, with each signer's name, email, IP address and how they were verified.

The executed PDF carries a certificate of completion, and its SHA-256 hash is stored so a later copy can be checked against it. The e-sign consent disclosure signers see states that there is no fee for withdrawing consent.

How quickly can an MSP set up recurring renewal alerts in XClause?

Reminders are live as soon as a signed agreement with a renewal or end date is saved. The quickest start is the paper you already have: upload a signed MSA or SOW (PDF, DOCX or TXT, one at a time) and confirm the dates XClause reads from it. If you get stuck, support answers new requests within one business day.

Which records each connector moves, and in which direction, is on the PSA and RMM integrations page. For MSPs, the whole platform is on the XClause for MSPs page.

XClause is contract lifecycle software, not a law firm. Templates are a starting point, not legal advice. Have your own counsel review documents for your jurisdiction.

Questions MSPs ask

Frequently asked questions

No. Your PSA stays the system of record for tickets, time and service delivery, and XClause runs the agreements next to it. On Pro and above it connects to ConnectWise PSA, Autotask, HaloPSA and SuperOps, and none of them receives invoices from XClause.

It is kept. Cancel before the 7 days are up and you are never charged. The account is then locked rather than deleted, so subscribing later brings your contracts back. There is no bulk export, so download any executed PDFs you want copies of while you still have access.

Yes. Download the draft as a PDF for your attorney and make the changes they ask for in XClause before you send it. The templates are a starting point, and your lawyer is the right person to review a particular deal.

It depends on the setting on each agreement. Reminders go to your team by default, and you can send them to the client contacts you have added in XClause instead, or to both, agreement by agreement.

No. Checkout has one line, your plan, charged when the 7-day trial ends, plus sales tax where it applies. Card and ACH processing fees apply only to invoice payments your clients make through XClause; they are on the pricing page.

XClause is built by Dylan Conkle, who has spent 17 years working with MSPs in SaaS, and it serves MSPs across the United States. To ask about your own renewals, call (469) 213-3019 or use the contact page. More answers are on the XClause FAQ.
