Managing Clients

Adding a New Client

  1. Navigate to the Clients page from the sidebar.
  2. Click Add Client.
  3. Fill in the client details:
    • Client name (required)
    • Address (optional — expandable section with autocomplete)
  4. Configure Client portal settings:
    • Toggle the client portal on (full portal access) or off (email-only signing links).
    • Toggle Send notification to control whether a welcome email goes out immediately.
  5. Optionally add one or more Client users (name + email). You can skip this and add users later from the client's Users tab.
  6. Click Create client.

There is no subscription tier selection on this form. All clients are created on the FREE tier automatically.

Client Detail Page

Each client's detail page contains several tabs:

There is also a Managed Assets link on the client detail page. It opens a dedicated page showing devices and assets tracked for that client (typically synced from a PSA or RMM integration).

Client Features

  • View and manage all clients from the Clients index page.
  • Track contracts, signatures, and documents per client.
  • Transfer clients to another MSP (requires Pro or White-Label plan).
  • View client analytics (requires Pro or White-Label plan).
  • Organize clients into Client Groups (see below).

Client Groups

Client Groups let you tag or segment clients for easier filtering and bulk operations. To manage groups, go to Client Groups in the sidebar. From there you can create groups, edit group names, and add or remove clients from a group.

Managing Client Users

Adding Users to a Client

Users can be added during client creation or afterward:

  1. Open the client's detail page.
  2. Go to the Users tab (or use the Add User dialog inline on that tab).
  3. Provide the user's name and email address.

After the user is created, xClause generates a password automatically. If the client portal is enabled and Send notification is on, the user receives a welcome email containing an invite link. That link reveals the auto-generated password so the user can log in. There is no field for entering a custom password.

You can also defer the welcome email and send it later from the client's Users tab.

User Management Features

  • Add multiple users per client.
  • View each user's name, email, and role from the Users tab.
  • Send or resend welcome emails from the Users tab.
  • Remove inactive users at any time.

Security

  • Passwords are hashed and never stored in plaintext.
  • Welcome emails include an invite link that surfaces the auto-generated password once.

Best Practices

Client Management

  1. Keep client names and addresses up to date.
  2. Use Client Groups to segment your client base.
  3. Use the Onboarding tab to track each client's intake progress.
  4. Review user access periodically and remove inactive users promptly.

User Management

  1. Verify email addresses before adding users — xClause checks for duplicates on blur.
  2. If a user does not receive their welcome email, use the resend option on the Users tab.
  3. Update user permissions or remove access as client relationships change.

Troubleshooting

User Access Problems

  • Confirm the user's email is correct and that a welcome email was sent.
  • Check that the client portal is enabled if the user is trying to log in (vs. email-only signing mode).
  • Verify the user's role is CLIENT_USER and they are associated with the correct client.

Client Management Issues

  • Only MSP_ADMIN users can create or transfer clients.
  • Client transfers and analytics are gated to Pro or White-Label plans.
  • If a user cannot see Managed Assets, confirm the relevant PSA/RMM integration is connected and synced.
