Renewal tracking pricing

What renewal tracking
costs an MSP

What XClause charges for renewal tracking, what each plan includes, and how it compares with the tools that come up for the same search.

XClause is contract software for MSPs in the United States, and renewal reminders are included on every plan, starting with Starter at $99.99 a month. You set them on each client agreement, at any mix of 90, 60, 30, 15 and 7 days before it renews, and they go to your team, the client, or both. Pro, at $199 a month or $1,910 a year billed annually, adds the PSA, RMM and accounting integrations.

Key takeaways

  • Renewal reminders are included on every XClause plan, Starter at $99.99 a month included. No plan sells them as an add-on.
  • StackGuard ($40 a month) tracks the vendor contracts you buy. ConnectWise PSA (priced by quote) runs service delivery and billing. CIPP (free to self-host) manages your clients’ Microsoft 365 tenants.
  • A renewal is when out-of-scope work gets priced back in. If an auto-renewing agreement slips past you, the drift renews with it. At 2 unbilled hours per tech per week and $150 an hour, a 5-tech MSP gives away $78,000 a year.
The short answer

What’s the cheapest option for MSP renewal tracking?

It depends on whose renewals you mean. For the client agreements you sell, the cheapest XClause plan is Starter at $99.99 a month, and renewal reminders come with it. For the vendor contracts you buy, like your own PSA, RMM and backup subscriptions, StackGuard’s one plan is $40 a month, less than any XClause plan.

A spreadsheet or a calendar reminder costs nothing and works for as long as someone keeps it current. When it fails, it fails quietly: an agreement gets amended, the date in the spreadsheet stays put, and the reminder fires for a renewal that has already moved.

Side by side

How does XClause renewal tracking pricing compare to StackGuard, ConnectWise PSA and CIPP?

StackGuard costs less, CIPP is free to self-host, and ConnectWise does not publish a price, because each one tracks something different. Here is what each tracks and what it charges.

StackGuard alerts you 90, 60 and 30 days before the last safe day to cancel a vendor contract. Its site covers vendor contracts only, so it sits beside XClause: one watches what you pay out, the other what you bill.

If you already pay for ConnectWise PSA, keep it. XClause connects to it on Pro and handles the agreement itself: the template, the signature, and the reminders before it renews.

CIPP’s pricing page lists one feature, multitenant Microsoft 365 management. Contract renewal tracking is not something it advertises.

“Our clients can now review and execute right in one place, and our team spends less time chasing paperwork.”

What happens when a renewal is missed without tracking software?

Usually nothing you notice that day. An auto-renewing agreement rolls into a new term at the old rate and the old scope.

The price increase you planned waits a full term. The scope you meant to fix renews too: devices added since signing, and work that has drifted outside the SOW. Two unbilled hours per tech per week at $150 an hour is $15,600 a year for each technician, or $78,000 for a team of five.

An agreement without auto-renewal fails the other way. It expires, your team keeps delivering, and until someone notices, you are providing service on an agreement that has ended.

What makes XClause renewal tracking better than a spreadsheet or PSA reminders?

The reminder lives on the agreement, so it moves when the agreement does. Upload a signed contract and XClause reads its dates, term and notice period, then asks you to confirm them before anything is saved.

Reminders can go to the client as well as your team, and they can post to Slack or Microsoft Teams, so the renewal conversation starts before the deadline does.

To see everything coming up at once, open the contracts list. Every agreement shows its renewal or end date, and the Expiring soon filter pulls up the ones renewing or ending in the next 60 days. The Daemon, the XClause AI agent, can also list what renews this week, this month or this quarter.

Can we customize renewal reminder timing and frequency in XClause?

Yes, on each agreement. Choose any combination of 90, 60, 30, 15 and 7 days before the renewal date, and each one you pick sends a single reminder. Then choose who receives them: your team, the client, or both.

Contracts you upload start with all five switched on, and you can change the timing or the recipients on any agreement later. The setting belongs to the agreement, not the client, so two agreements with the same client can run on different schedules.

Does XClause handle renewal tracking for all contract types or just SOWs?

Every signed agreement that renews, SOWs included. MSAs, SOWs and other agreements with a renewal or end date get reminders. The two document types that never renew, the NDA and the Declination of Services, are skipped.

The template library holds the agreements themselves: an MSA, a SOW that doubles as the SLA (support hours, response times and escalation are fields in it), an NDA and a Declination of Services and Risk Assessment. Independent MSP attorneys draft the XClause template library and keep revising it, so the language you start from is maintained rather than written once and left alone. You build from the live library rather than a copy issued at signup, so a revision reaches the next agreement you build. Agreements you have already signed stay exactly as signed.

Next to it sits a document library of more than 30 policies, procedures and checklists you can send to clients: an acceptable use policy, backup, BYOD, disaster recovery and incident response policies, a client onboarding checklist, a quarterly business review and more. Both libraries come with every plan.

How quickly can we set up renewal tracking after signing up for XClause?

The same day. Every plan starts with a 7-day free trial. You add a card at signup and are not charged until the trial ends. If you get stuck, support answers new requests within one business day.

The quickest start is the paper you already have. Upload a signed MSA or SOW as a PDF, DOCX or TXT, confirm the dates XClause reads from it, and all five reminders are set. It works one contract at a time; there is no bulk import.

New agreements take minutes. Once your default SOW is saved, building and sending an MSA and SOW for signature takes about three, and the reminders start once the client signs.

Which accounting systems does XClause integrate with for two-way sync?

QuickBooks Online, Xero and FreshBooks all sync both ways: invoices go out, as drafts for you to approve in Xero and FreshBooks, and payment status comes back from each one when you sync payments. Automatic syncing stays off until you turn it on, and the accounting integrations start at Pro.

On the PSA side, XClause connects to ConnectWise PSA, Autotask, HaloPSA and SuperOps on Pro and above. What moves between them depends on the tool, and none of the four receives invoices from XClause. RMM device counts come in from NinjaOne and SuperOps and are never written back.

Which records each connector moves, and in which direction, is on the PSA and RMM integrations page. The full list of connectors is on the integrations page.

XClause is contract lifecycle software, not a law firm. Templates are a starting point, not legal advice. Have your own counsel review documents for your jurisdiction.

Questions MSPs ask

Frequently asked questions

It syncs with it. Your PSA stays the system of record for tickets, time and service delivery, and XClause runs the agreements alongside it. On Pro and above it connects to ConnectWise PSA, Autotask, HaloPSA and SuperOps. What moves between them depends on the tool, and none of them receives invoices from XClause.

It is kept. Cancel before the 7 days are up and you are never charged. The account is then locked rather than deleted, so subscribing later brings your contracts back. There is no bulk export, so download any executed PDFs you want copies of while you still have access.

Yes. You can invite your own attorney into a specific contract to redline it before it goes out. The templates are a starting point, and your lawyer is the right person to review a particular deal.

Yes. Starter, Pro and Pro + White-Label all build from the same template library and document library. What changes by plan is how many custom templates of your own you can save: 2 on Starter and 5 on Pro.
